Sales overview
One system from the counter to the books.
M-POS System runs the till, the stockroom and the accounts of a retail business across every branch, so the numbers on your dashboard are the numbers in your drawer.
Most shops juggle a till, a notebook, a stock sheet and a separate invoicing tool, then spend evenings reconciling them. M-POS System keeps all of it on one record: a sale reduces that branch's stock, updates the customer's balance and lands in the day's report the moment it is paid.
Why shops switch
Sell in seconds
Scan a barcode or type part of a name, take the whole sale from the keyboard, and print a receipt on A4 or an 80mm thermal roll. Retail, trade and wholesale prices are one key apart.
Every branch, one picture
Each branch keeps its own stock and its own documents. Move goods with transfers or requisitions, and see the business total while the branch detail stays exact.
Stock that adds up
Opening balances, adjustments, counted-stock imports and bulk updates all record who changed what. Sell by carton, dozen or kilo and stock deducts the true base quantity.
Invoices that get paid
Quote, convert to an invoice, take part payments or a deposit, credit goods back and hand the customer a statement that matches their ledger.
Purchases under control
Raise requisitions, order on a purchase order, receive goods into a branch, pay suppliers and send back what arrived wrong, with statements to prove it.
Roles that fit the job
Give a cashier the till and nothing else, a storekeeper the stockroom, a manager the reports. Add a 4-digit till PIN per person and a full activity log.
A quick tour of a working day
- 1Set up the business
Add your name, logo, tax numbers, VAT rate, currency and document prefixes. Every receipt, invoice and quotation is branded from that one place.
- 2Create branches and staff
Open a branch for each location and assign roles: what a role may open (POS, stock, purchases, accounts) and which branches it may work in.
- 3Load your products
Type the catalogue in, import it from a spreadsheet, or bulk-edit prices later. Set units with their contents (a carton, a dozen) and open each branch's stock.
- 4Open the till and sell
Sell by scan or search, apply a discount, pick a customer for credit, and pay by cash, M-Pesa, card, bank, credit or any split of them. Stock moves as the sale posts.
- 5Order and receive stock
Request what a branch needs, turn it into a purchase order, receive the goods and the branch stock updates. Returns to the supplier are recorded the same way.
- 6Invoice and collect
Send a quotation, convert it to an invoice, take payments against it, issue a credit note and print the customer's statement. Balances are always derived, never guessed.
- 7Watch the numbers
The dashboard and reports cover daily sales, Z-reports, items sold, stock movement, product history, sales reps, expenses and a unified transactions ledger.
Everything in one place
Selling
- Point of sale Fast till with barcode, search, quantity keys, discounts, held sales, returns and split payments.
- Receipts and tickets A4 or thermal receipts, kitchen tickets for food service, and automatic printing if you want it.
- Customers and credit Price groups, credit limits, deposits held as credit, payments and statements per customer.
Stock
- Branch inventory A stock level per branch with the business total alongside it, and a stock history behind every change.
- Transfers and requisitions Move goods between branches in the unit you count them in, with issue and receipt steps.
- Inventory tools Opening balances, adjustments, counted-stock imports and bulk price or category updates.
- Units and weights Cartons, dozens, kilos and litres price and deduct correctly; services sell without touching stock.
Money in
- Quotations Price a job, send it, and convert the accepted quote straight into an invoice.
- Invoices and credit notes Numbered per branch, with terms, bank details and returns credited line by line.
- Customer payments Cash, M-Pesa, card or bank against an invoice or on account, with a void trail for mistakes.
Money out
- Purchases Purchase orders, goods received, supplier payments and supplier returns.
- Expenses Categorised costs, branch or business-wide, with payment methods and references.
- Supplier statements What you owe and what you paid, per supplier, ready to reconcile.
Books and reports
- Daily sales and Z-reports Cash, M-Pesa, card, bank and credit totals for the day or a work period.
- Stock and product reports Movement, valuation and per-product history you can export to spreadsheet or PDF.
- Transactions ledger Every sale, invoice, payment, purchase and expense in one filterable list.
- Chart of accounts Journals and account structure for a business that wants its books in order.
People and settings
- Staff and roles Module-by-module permissions, branch locks and a kiosk mode that lands straight on the till.
- Till PIN Each seller signs in to the POS with their own 4-digit PIN, so every sale carries a name.
- Activity log A timestamped record of who created, changed or deleted what.
- Support inbox Report a problem from inside the app with screenshots, and follow the reply thread.
Control, access and peace of mind
- Work period: run a trading day that opens and closes on your hours, not at midnight.
- Offline-first till: sales queue on the device and post to the books when the connection returns.
- Per-business separation: every product, sale and setting belongs to one business account.
- Document numbers by branch, so two tills never issue the same receipt number.
- VAT handled either way: prices with tax included or added on top, per product exemption.
